Bulk managing charges
The merchant portal's bulk management feature provides a reliable in-app tool for updating upcoming charge dates in bulk. Using this tool, you have the flexibility to perform bulk updates on your own timeline.
This guide provides instructions on using the tool to update upcoming charge dates in bulk.
Before you start
- Bulk updating upcoming charge dates reschedules the entire charge and all line items associated with the charge. If you would like to reschedule a single line item on a charge, see Bulk update subscriptions with the Import tool and Bulk update subscriptions with the Multi-Select tool.
- This bulk update will only change the next charge date.
- If you see errors such as
charge with ID <charge ID> does not exist
orcharge SKIPPED status must be one of ['queued', ‘error’]
, you can continue processing updates. These errors are due to customers updating subscriptions in the customer portal and Recharge will continue to process valid charges.
Update charges with the Multi-select tool
The Multi-select tool allows you to update charges based on search criteria or filter options. The Multi-select tool is built into the merchant portal and provides an easy-to-use interface with selection boxes.
Step 1 - Prepare the bulk update
To start a bulk update using the Multi-select tool, search for and select subscriptions to update:
- Click Subscriptions under Customers in you merchant portal. On the Subscriptions page, search for relevant subscriptions by using the search criteria or filter options.
- Use the selection boxes to select individual records or select all records to update all search results.
- Click Actions and choose Reschedule.
- Select a new next charge date using the calendar and click Next when finished.
- Preview the update summary and select Prepare update. Recharge will generate your update file and email you when the update is ready for processing.
Step 2 - Perform the bulk update
The bulk update file will generate in the background and you can check the status at any time:
- Click Tools & apps in the merchant portal and select Bulk updates to view your validated files.
- Click Process update to begin the bulk update.
- On the pop-up modal, click Update subscriptions to confirm the bulk update.
- Once the update is done, the Processing status will be marked Complete and the Results will display the number of subscriptions updated.
- From the merchant portal, click Subscriptions to confirm the updated information is correct.
Update charges with the Import tool
Step 1 - Prepare a CSV file
Note: Bulk management tools have a max limit of 50,000 records. If you need to process more than 50,000 records, you must split the records into multiple CSV files and complete multiple bulk updates using the import tool.
You can use the Import flow to reschedule charges in bulk. To begin rescheduling charges in bulk, you will need to prepare a CSV file.
- Click Tools & apps and select Exports in the merchant portal.
- Create an export using the Charges - Queued or Charges - Error option from the dropdown list.
- When the export has finished processing, download and open the export.
- Remove any charges from the export that you do not want to update charge dates for.
- Delete all columns except for charge_id.
- Add a column titled next_charge_date. This is the column that will be used by the bulk managing subscriptions tool to change charge dates.
- Enter the desired charge date to the new next_charge_date column in YYYY-MM-DD format.
- Save and export your updated file as a CSV file. The file must be in CSV format to use the bulk management tool.
Step 2 - Import the CSV file
After preparing the CSV file, you must import the file into the bulk management tool.
- Click Customers and then Orders in the merchant portal.
- Select Import updates.
- Upload the prepared CSV file and click Next.
- Confirm the details of your update and select Validate your file. The validation process may take some time to complete, depending on the size of the file. Once the process is completed, you will receive a confirmation email.
Step 3 - Perform the bulk update
Once your file is validated, you can perform the bulk update.
- Click Tools and apps and select Bulk updates in the merchant portal to view your validated files.
- Click Process update to begin the bulk update.
- On the pop-up modal, click Update charges to confirm the bulk update.
- Once the update is done, the Processing status will be marked Complete and the Results will display the number of charges updated.
- From the merchant portal, click Orders then review the Upcoming or Errors tabs to confirm the updated charge dates are correct.
Revert, delete, or cancel the bulk update
If records cannot be processed or you encounter issues with the update, you can revert the bulk update using a backup file. See Revert, delete, or cancel a bulk update.
