Managing Recharge user and account permissions
Recharge permissions allow store owners or administrators to control what their team members can access within the Recharge app.
This guide outlines how you can view and edit permissions for existing accounts, add new accounts, and edit default permissions for accounts that are automatically created when a user accesses Recharge via Shopify.
Before you start
- All of the steps listed in this guide can only be performed by store owners or administrators.
- Permissions determine which sections an account can access within the Recharge app. See Description of staff permissions for detailed information about each permission.
Store owners
For all Shopify and BigCommerce stores, the Shopify or BigCommerce store owner will automatically be recognized as a Recharge store owner when they access the application.
- For stores created after March 10th, 2023, the email address used when installing and setting up Recharge is automatically designated as a store owner.
- For stores created before March 10th, 2023, the Shopify "store contact" email address on file at the time of installation was used to create a Recharge store owner account.
Recharge began creating and recognizing individual users in October 2020. If your store was created before October 2020, and your Shopify store owner has not accessed Recharge since then, Recharge may not have a store owner user on file. To resolve this, have your Shopify store owner access Recharge, and they will automatically be recognized as the Recharge store owner. For more information, see Updating the store owner.
Users and accounts in Recharge
Learn more about the difference between "users" and "accounts" in Recharge:
Recharge users
A “user” is the individual accessing Recharge. Users are differentiated by email addresses, and an email address can only be associated with a single user. Individual users can have access to multiple Recharge stores.
Recharge accounts
An “account” is the connection between a user and a store. Permissions for specific stores are managed at the account level, as users can have different permissions for each store they have access to.
Account Details profile
In your merchant portal, click Settings and select Accounts. Click on any user to open their Account Details. The User details are unique to the individual user. Store owners or administrators can not edit these details:
The Permissions settings are specific to the store. Store owners or administrators can edit these:
View or edit the permissions for existing accounts
You can view or edit the permissions for any of your existing accounts in Recharge:
- If you are the store owner or have “Accounts” access, click Settings in your merchant portal and select Accounts.
- You’ll see a list of all of the accounts that have been added. This includes accounts that were automatically created when a user accesses the Recharge app from Shopify or BigCommerce.
- Click on any account to open the Account Details.
- Use the checkbox next to the permission setting to specify which sections you want the account to have access to in Recharge. Click the dropdown to further detail the permissions the account has.
- Click Save changes.
See Description of staff permissions for detailed information about each permission.
Edit the default permissions for new automatically created accounts
When you access the Accounts section in Recharge, you'll see the following accounts:
- Accounts that you manually added to Recharge.
- Accounts that are automatically created when Shopify users access the Recharge app from the Shopify admin.
You can control which permissions that accounts created automatically can access by default (i.e. the Customers and Orders sections). You can edit the individual account permissions after the account has been created.
- Click Settings in your merchant portal and select Account.
- Click Edit store default permissions:
- Use the checkbox next to the permission settings to specify which sections you want the new accounts to have access to. Click the dropdown to further detail the specific permissions that are available by default.
- Click Save to confirm your changes.
Add additional accounts
Recharge user accounts do not generally need to be manually created, as accounts are automatically created when Shopify users access the Recharge app. Adjustments to automatic accounts, such as updating the team member’s email, requires creating a new Recharge login.
To invite users to access Recharge directly rather than through Shopify, add new accounts.
- Click Settings in your merchant portal and select Accounts.
- Select Add account and complete the account details by entering the user’s email address and selecting which sections the account can access.
- Click Save and an invite will be sent.
New accounts receive an email notification inviting them to create a direct Recharge login. If the user also has access to Recharge via Shopify, they will be able to use either method to access your Recharge merchant portal.
Delete accounts
Store owners can delete staff members using the Recharge merchant portal. Refer to the following steps to delete an account:
- Click Settings in your merchant portal and select Accounts.
- Select the account you would like to delete.
- Click Delete account and select Confirm: delete account.
Note: If you delete an account from Recharge, the user's access will be blocked if they try to login again. If you need an account restored, contact the Recharge support team.
